That is not always true. Many clients leave because of the way they were spoken to. Before you reply to any client, go through these simple checks. 1 Read the message carefully. Don’t rush to reply. Read the client’s message from beginning to end. Make sure you understand exactly what they are asking. Many people answer the wrong question because they only read the first line. Example: Client: “How much is your service, how long will it take, and when can we start?” Bad reply: “It’s ₦50,000.” The client asked three questions, but only one was answered. Better reply: “The service costs ₦50,000. It takes about five days to complete, and we can start as soon as you’re ready.” A complete answer makes you look professional. 2 Understand what the client really wants. Sometimes clients don’t ask the real question directly. When someone asks, “Why is your price higher?” They may actually be asking: “Can I trust you?” “Will I get good results?” “Is this worth my money?” Instead of defending your price, explain the value they will receive. 3 Remove emotions before you reply. Never reply when you are angry, frustrated, or offended. A message written in anger can destroy an opportunity that took weeks or months to create. If a client’s message annoys you, wait a few minutes before replying. Read your message again before sending it. 4 Make your reply easy to understand. Avoid long, confusing sentences. Use simple English. Your client should understand your message the first time they read it. If they have to read it twice before understanding, your message is too complicated. 5 Answer every important question. Clients don’t like asking the same question repeatedly. Before sending your message, check if you’ve answered everything they asked. The easier you make the conversation, the easier it becomes for the client to move forward. 6 Read your message one last time. Ask yourself: “If I were the client, would this message make me feel confident?” Check for spelling mistakes, missing information, or anything that sounds rude or confusing. This final check only takes a few seconds, but it can save you from losing a client. Your reply is more than just words. It represents your business. It shows whether you are professional, reliable, and easy to work with. Many businesses spend hours trying to get new clients, then lose them because of one careless message.
