You do not ask a client for payment by sending a WhatsApp message. That is not how professionals get paid. There is a document you need to learn how to present. An invoice. If you provided web design services and you want your money, you generate an invoice. Not a text saying "boss, tuma pesa." And this is often why payments delay. You are not presenting evidence that is sufficient enough for someone to release money to you. From the client's side, they need something formal to file, to justify the payment, and to reconcile later. Think about it practically. I build you a website for 150,000 shillings. You pay a 60 percent deposit of 90,000. You need a document showing what you paid for, who invoiced you, the payment method, the invoice number, and the date. That is the paper trail. Without it, both of you are guessing. So learn to draft one properly. Use tools like Zoho, or draft one with Claude, ChatGPT, or Canva. Most of these are free. Then there is the eTIMS invoice, which is generated through KRA and allows the Kenya Revenue Authority to track transactions. I am not an accountant so I will not go deeper than that, but you should understand it exists. And this brings up something many freelancers avoid entirely. Tax obligations. People are genuinely afraid to bill formally because they do not know what they owe. So they stay informal and stay small. You do not need a full time accountant. Just consult one. Ask what obligations apply to you and what percentages you should plan for. Stop ignoring the business side of your business. Learn to invoice. Understand your taxes.
