The secret to avoiding phone storage full notifications isn’t a magic app or the right storage size, but actually just developing a rhythm for staying on top of your media. So here’s the cadence I use for keeping 250GB of client + studio content under control (adjust to your media intake level): • 1x Monthly - delete and sort media into albums • 1-2x Quarterly - archive anything I’m not actively using week to week to Dropbox + hard drives • Ongoing - client and campaign media gets backed up on DB + HDD immediately, then removed once project has wrapped • 1x Monthly - clear cache + old projects from my editing apps For my iPhone users, I know I’m going to get some more q’s about using iCloud Photo Sync vs a third party cloud app like Dropbox. So here’s a more detailed breakdown of why I prefer it: Structure — iCloud is one continuous scroll with albums layered on top, Dropbox is real folders which I prefer for archiving Offloading — iCloud only “optimizes” storage, Dropbox actually allows me to clear space off my phone by archiving media I’m not using (and I can quickly redownload if I suddenly need an old clip) Separation — iCloud is tied to one Apple account, Dropbox keeps client and personal media apart Recovery — iCloud gives a 30-day window, Dropbox offers stronger recovery on paid plans These features and the DB subscription fee might not be worth it to the casual user, but if you’re a creator or professional that makes content for a living might be something to consider! as someone who shoots content for a living, I do not have time for storage full notifications. So here's how I keep my phone under control. Now, because I work with clients, I do have a separate phone from my personal phone. This phone has 256 gigabytes of storage, but I never have to buy more iCloud space because I actually don't have it connected to iCloud photos. A lot of people don't realize that iCloud Photos is more of a sync tool than a backup tool. And since I like to keep my personal and work media separated, I keep this turned off and instead use Dropbox as a way to organize and offload, which we will get into in just a sec. But one important thing that I do want to note that I make sure that backup is on. That's what protects my media in case my phone is stolen, broken, or broken. Now, the next important thing that I want to flag is that storage isn't a special tool. It's really just making a habit. And that's boring, but trust me, this keeping up with this regularly versus once a year is the difference between a 10-minute task and losing an entire weekend. So, 1x Month - Sort Media. I organize albums, duplicates, unusable. Then, when it comes to my studio's organic content, I never actually delete old media I've used and constantly repurpose. But that doesn't mean everything needs to live on my phone. So, 1-2x Quarter - Archive + Backup Organic Content. Anything I'm not actively pulling from week to week gets uploaded to Dropbox and my hard drives. That way, it's not gone forever, it's just off my phone. Now, my client and brand campaign work play by different rules. That media, both raw and edited, gets backed up immediately on Dropbox and my hard drives. Then, once the post is live, I remove it from my phone. And the last step for cleaning up storage is heading into my mobile editing apps because those can take up a lot of space too. I clear the cache and delete inactive projects that have already been posted at least once a month. But I always make sure to have a clean, version of my videos saved without any titles. That way I can easily repurpose them down the line.
