One lesson I’ve learned after years in HR is that the employee with the best notes almost always has the strongest case. Documentation is about protecting yourself if war ever finds you. 1. Inappropriate comments. Write down exactly what was said, who said it, when, where, and who else heard it. Use quotation marks around the actual words. 2. Performance feedback. Keep the positive reviews, coaching notes, and emails recognizing your work. Forward praise to your personal email the day you get it. 3. Changes to your job. Duties, schedule, reporting line, or workload. Note when it changed and why. Quiet demotions are real. Your timeline is the only thing that shows the pattern. 4. Accommodation requests. Save the emails, the notes, and every response you get back. The clock on their duty to respond starts the moment you make the request, so timestamp it. 5. Harassment or bullying incidents. Dates, times, locations, exact words or actions, witnesses, and how it affected your work. One incident is an event. Five is a pattern. 6. Safety concerns. The hazard, who you told, and the day you raised it. Report it in writing, even if you already said it out loud. 7. Overtime worked. Every hour past your schedule, especially if approval or pay later becomes a fight. Track it in real time, not at month end. 8. Significant meetings. After the conversation, send yourself a dated recap of what was agreed. A recap nobody disputes becomes accepted fact. 9. Policy concerns. Told to do something that feels off? Ask your clarifying questions in writing. Puts your concern on record while keeping you protected and professional. 10. Your own achievements. Keep a running file of projects, metrics, compliments, awards, and wins. Do it monthly. Your notes don’t have to be perfect, they just have to exist. Save this so it’s there when you need it, and follow @yourhrbigsiscynthia for the HR moves they hope you never learn. Have you ever had a situation where documentation saved you from a bad situation?
