My corporate job recently switched from Gmail to Outlook, so here is how I set up my Outlook. If this is happening to you as well. First important thing to do is to go to settings, go to appearance and then change the colour. Obviously I am going with a pink theme. This just makes the inbox pink and cute. Next is I set up the folders. You can see I colour code them which is really fun. If it is not getting filed away, it is sitting in my inbox, which means that I am assigning a category to it. You can create new categories. A lot of people organize this as to do, waiting on, touch bases, follow up, need to reply to. Touch base for me is where emails go that I need to follow up with my coordinator or my manager. The rest of this is all to dos for me but I just organize it by what type of to do it is. Next cool thing, anytime you get an email where there is a task, you can highlight it and add it to your to do list. Then over here when you click on to do, that will appear as a task. You can even assign a due date for that and the importance. If your brain likes to time block things instead, you can grab this email, literally drag it over to the calendar. It automatically opens up a calendar invite. You can add this to a day and time that you wanna work on it. And what is great is it does attach the emails. You can click into the email to get started. Obviously we have Copilot built in. If you had a really long thread of emails, you could ask Copilot to quickly summarize where you are at. Another great way to use Copilot is to ask it to pull all of your emails sent in the last seven days that have not received a response that you can follow up on those emails. Something else you can do is create rules. So if you click on these three dots up here, come down to Advanced Actions, create a rule. You could create a simple rule where any emails from this one person ends up in this folder. Or you could get very specific with the rules. That is just a high level quick overview of my favorite things to do in Outlook but everyone has a different system, so write down what your system is in the comments and if you can help someone else.
